How to Fullproof Your Event Planning

It’s a great feeling when your event goes perfectly but there is no doubt that planning it is extremely stressful. It doesn’t matter what type of event it is, although certain events are inevitably more stressful than others.

For example, a wedding, which should only happen once in a lifetime!

You may not be able to eliminate all the stress, but you can certainly reduce it by fullproofing your event planning. In effect, you’re going to be prepared for anything that can go wrong!




The Date

The earlier you set the date the easier it will be to start planning. This is good for two reasons:
1. Gives you a timescale to plan your event.
2. Will allow you to budget properly, including funds that may occur along the way.

Obviously the greater the amount of tie you have to plan the easier it is.


Budget

This is critical early in the planning stage. You need to know how much funds you have available and can use to provide your event. This should be followed by a plan.

The plan needs to cover every part of your event, from vehicle hire to room hire, catering, and even the décor. It’s essential to include all the details, such as music, the need for Wi-Fi, and even accommodation, if necessary.

Once you’ve sorted out all the details on paper you can add a value to create your budget. But, you also need to ensure you have some funds in reserve, to cover emergencies.


The Location

Your location is important and needs to be booked early, this will allow you to advertise the event or send preliminary save the day notices.

You’ll need to choose a location that can handle the number of people you want and is available on the date you have in mind.

But, your location also needs to be secure. You have to be confident that it will still be in business at the time of your event. It’s always good to have a back-up plan even if you can’t book two venues.

When you’re dealing with an important event you need the very best décor possible. Whether wedding decor you’re looking for or another event, it’s a good idea to contact the professionals and arrange exactly what you need.

They can help you to get the right look for your event and they will be guaranteed to have and supply the right materials on the day, you won’t even have to worry about putting them in place.


Catering & Other Vendors 

Your event needs food and you need to plan this well in advance. You’ll also need music, lighting, and potentially other equipment. All these things should be on your event planner.

Book these in advance and check in regularly with them to ensure they are on schedule and you’ll have no issues on the day. This will ensure that the day goes smoothly.


Above all, remember that small issues will never be noticed by guests, stay calm and deal with any problems as they arise.
